Reorganization and redesign of Villaägarnas intranet

Background

In 2018, Villaägarnas Riksförbund reinvented their web and platform, and simultaneously made a shift in their design and way of communicating. This meant that they also had to adapt their CMS-system where they hosted their intranet. I was put in charge of the project and took the lead in going through the old intranet as well as building up a new one together with our developers, all based on the new design. 

 

The problem

The problem with the intranet was that because the structure was so complex, it was so hard to find relevant information. Therefore very few used it and news that was supposed to be shared with the whole organization never spread effectively. The solution was to try and create a new structure and design where the user easily could find any information they were looking for, while also identifying what information was not relevant for our members and our organization.

 

The process

I started the process by going through the old intranet to get a grip of how the structure and the information management was set up. I then conducted interviews with my co-workers to get a larger understanding of what was working, not working, and what they needed from an intranet. When I had gotten a clearer image of the problem, I started making paper prototypes. During that process I explained my ideas and vision to the project manager and the development team. The idea was approved and shortly after I started the building process in staging. 

 

The result 

The end result of the project was the new intranet for the organisation, where they now have an easier way of accessing the daily internal information, through highlighting important topics and excluding other non-relevant information in the design.

Unfortunately, due to the short timeframe I didn’t get to iterate the process together with the end user as much as I would have liked before the project was set in production, but despite this the sentiment has been positive regarding the new intranet.

 

What I did on this project

  • Conducted user interviews to get an understanding of requirements and expectations

  • Made paper prototypes of the intranet design

  • Made prototypes in staging for the user to test the website

  • Was in charge of the vision and design while communicating with the development team
